Workplace (Receptionist) Specialist

Guidewire is an exciting, fast-paced environment requiring the ability to juggle multiple competing tasks and demands. The Workplace specialist is an internal customer focused role that supports the Global Workplace team, ensuring the seamless day to day operations of our workplace. The position requires a team playing with poise, tact and diplomacy while communicating with internal and external customers. This role has regular access to company information, requiring professional discretion and confidentiality at all times. The selected candidate will assist with oversight of building operations, safety elements and building maintenance in partnership will building management, vendors, and suppliers. The incumbent will also partake in office administrative activities and procedures as well as provide cross-functional support across our organization. 

Responsibilities

  • Coordinate and Maintain Workplace services and operations (i.e. micro-kitchens, janitorial, maintenance, building access, employee amenities)
  • Manage and respond to Workplace tickets via ServiceNow
  • Setup and takedown of furniture and equipment; reconfigurations, learning center, outdoor terrace, company meeting and special event.
  • Assist with the coordination of space management and planning activities including move coordination; space inventory; space allocation tracking; maximizing space utilization.
  • Report and track building maintenance and manage property management relationship to ensure proper standards are applied consistently.
  • Shipping and receiving as well as distribution.
  • Backfill reception duties, welcoming visitors, supporting employees and visitors while enforcing security and access protocols.

Requirements

  • 3+ years of related facility experience
  • Strong organizational and time management skills; ability to work with a high sense of urgency within established timelines, exercising consistent follow-through/follow-up when necessary.
  • Must be available to occasionally escort vendors through the space during after-hours and weekends
  • Computer skills in MS Office/Windows including Outlook, Excel, and Word
  • Willingness to learn new systems; ServiceNow, SiQ, SharePoint, COUPA, Concur
  • Some knowledge with ergonomics and life safety systems
  • Regularly required to move furniture and boxes weighing up to 40lbs
