RMO Coordinator (GSC) Global Resource Management Office

About the Team

The primary objective of the Resource Management Office is to assign the right person, to the right opportunity, at the right time for consultant and customer success. Our role in Delivery Services is to match our customer`s resource requirements with the most qualified people in an efficient way to accelerate time to value. While the Resource Staffing Managers are dedicated to the ongoing allocation and redeployment of the company`s human capital, we are also responsible for Demand Planning (creation & maintenance of Financial Force data for reliable Financial & Resource Forecasts) and Capacity Planning (Delivery Services Availability vs. Portfolio Pipeline).

About the Role

Under the guidance of the Sr. Resource Staffing Manager, the RMO Coordinator is responsible for effectively logging and keeping an overview of incoming resource demands as it relates to the Guidewire Services Center (GSC), a center of excellence within our Delivery Services team. The source of the demand comes from Resource Staffing Plans and regular portfolio interlock meetings with the Delivery Management team and the consulting interlock meetings with the GSC Consulting Management team, both of which the coordinator will attend. The RMO Coordinator will work with the relevant Resource Staffing Manager and the GSC Practice Leadership to ensure all demand entered in the PSA tool (Financial Force) is in alignment with requirements. The Coordinator will also help develop and maintain process documentation, cover planned PTO of the staffing manager, and support the continued success of the RM function at Guidewire. This role provides support to the existing team and will have no supervisory responsibilities.

Key Responsibilities:

  • Assist Resource Staffing Managers and RMO leadership with ensuring compliance with Resource Management Processes
  • Assist with documentation of RM processes and communications
  • Support the Resource Staffing Manager with the creation and maintenance of all resource requests, assignments & scheduling strategies
  • Proactively assess and communicate on likely extensions
  • Handle all soft booking of consultants in the PSA tool once they have been identified through the staffing process
  • Attend weekly/biweekly calls with Portfolio Directors, Delivery Managers & Consulting Managers regarding the status of “in-flight” projects and sales opportunities
  • Ensure all data entered in FinancialForce is correct and maintained in a timely manner, with process control and data integrity at the forefront of one`s actions
  • Provide coverage during Resource Staffing Managers’ scheduled PTO
  • Be the gatekeeper for the Skills Inventory Catalog and Internal Resumes for the team ensuring adoption and compliance

Selection Criteria:

  • Bachelor’s Degree or 2+ years of related experience in a business operations or professional services environment
  • MS Office (Word, PowerPoint, Excel, SharePoint & Visio) Strong Proficiency.
  • Knowledge of the Salesforce platform, including FinancialForce preferred.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills, attention to detail and ability to follow established processes. 
  • The ability to juggle multiple tasks and to work in a fast-paced environment.
  • Experience at working both independently and in a team-oriented, collaborative environment.
  • Strong interpersonal and team building skills.
  • Flexibility around working hours (Guidewire is a global virtually connected company).
  • Business analysis experience in resource management is a plus.
